Terms of Service

These terms apply to your use of SWEETFA on web, Telegram, and WhatsApp.
1. What This Service Is
SWEETFA (“we”, “us”, “our”) provides a software tool that helps tradespeople and small businesses create PDF invoices, quotes, estimates, receipts, statements, and compliance documents using text or voice messages.
SWEETFA is not an accountancy, tax advisory, financial services, or legal advice service. We generate documents from the information you provide. You remain responsible for checking accuracy, VAT treatment, customer details, and legal compliance before sending anything to your customer.
2. Service Access and Availability
We aim to keep the service available, but we may update, maintain, suspend, or change features from time to time.
- Features may change as we improve the service
- Availability is not guaranteed and downtime may occur for maintenance, security work, or platform issues outside our control
- Your account data and invoice records are retained in line with these terms and our Privacy Policy
- Pricing is pay-as-you-go with 150 free credits on account creation, then credit packs priced at 100 credits for £4.99, 300 credits for £9.99, 750 credits for £19.99, and 2000 credits for £39.99
3. Your Account
Your account is identified by your phone number, messaging account, or web session, depending on how you use the service. We may collect:
- Business name so it can appear on your documents
- Business address so it can appear on your invoices and other records
- Email address for document delivery and account communication
- Payment details or trade credentials if you choose to add them to your documents
You are responsible for the accuracy of the information you provide. We do not verify business registrations, VAT numbers, licences, or trade credentials for you.
4. What We Collect and Why
We process your data to provide the document service you requested. Our lawful basis under UK GDPR is contract performance under Article 6(1)(b).

HMRC may require invoice records to be kept for 6 years. We retain invoice records for that period to support your legal record-keeping obligations.
5. Your Rights
Under UK GDPR, you have the right to:
- Access your data by messaging us or contacting support
- Delete your account, subject to any records we must keep by law
- Export your data including your invoices and account details
- Correct your data by updating your details through the service or by contacting support
We aim to process rights requests within 30 days.
6. What You Must Not Do
You must not use the service to:
- Create fraudulent, misleading, or illegal documents
- Impersonate another business or individual
- Upload or process personal data where you do not have a lawful basis to use it
- Attempt to reverse-engineer, overload, or abuse the service
- Use automated scripts or bots to misuse the service
We may suspend or terminate accounts that breach these terms or put the service, other users, or third parties at risk.
7. Disclaimers
- Not accountancy advice. SWEETFA is a software tool. We do not provide accountancy, tax, legal, or financial advice.
- Document accuracy is your responsibility. We generate documents from the information you provide. We do not verify amounts, VAT calculations, customer details, or regulatory compliance.
- No guarantee of delivery. PDFs are generated and sent via your chosen platform. We are not responsible for failures caused by Telegram, WhatsApp, email providers, or other third-party services.
- VAT compliance. If you are VAT-registered, you are responsible for including your VAT registration number and applying the correct VAT treatment.
- No service level commitment. Unless we expressly agree otherwise in writing, we do not provide any uptime or response-time service level agreement.
8. Our Liability
To the maximum extent permitted by law:
- We are not liable for losses arising from inaccurate documents, missed deadlines, or failed deliveries
- We are not liable for tax penalties, HMRC actions, or financial losses arising from how you use the service or the data you provide
- Our total liability to you in any 12-month period is limited to the amount you paid us in that period
- Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, or any liability that cannot legally be excluded
9. Changes to These Terms
We may update these terms from time to time as the service changes. We will notify you of material changes using the product or another reasonable communication method. Continued use after that notice means you accept the updated terms.
10. Governing Law
These terms are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the English courts.
