Data Deletion Instructions

Effective date: 21 April 2026

1. Summary

You can request deletion of your SWEETFA account and the personal data we hold about you at any time. This page explains the three ways to do it, what gets deleted, what we have to keep by law, and how long the process takes.

2. How to request deletion

You have three equivalent options.

  • In the web app. Sign in at getsweetfa.com/sign-in, open Settings, and use the “Delete my account” action. You will be asked to confirm.
  • In chat. Message “delete my account” to the SWEETFA WhatsApp or Telegram number. The bot will confirm the request and trigger the deletion workflow.
  • By email. Email support@sweetdocs.co.uk from the address registered on your account, asking us to delete your account. We may verify the request by sending a confirmation reply.

3. What is deleted

  • Your business profile (name, address, email, trade details).
  • Your conversation history with the SWEETFA bot (text, voice notes, transcriptions, images, webhook metadata).
  • Your customer directory and draft documents.
  • Authentication records and session data.
  • Personal data held by our sub-processors, propagated to them under their respective agreements.

4. What we have to keep by law

Issued invoice and receipt records are retained for 6 years from the date of creation. This is a mandatory HMRC record-keeping requirement under UK tax law and cannot be waived on request, even after account deletion. These records are kept minimally (customer name, amount, VAT, date, invoice number) and are isolated from your account once the account itself is deleted.

We may also be required to retain limited data to meet other legal obligations (for example, to respond to a lawful request from a regulator or court).

5. How long the process takes

  • Confirmation: we acknowledge your request within 72 hours.
  • Active data removed: within 30 days of the confirmed request.
  • Backups purged: within a further 60 days, so all personal data is gone within 90 days of the confirmed request, except for the retained invoice records described above.

6. WhatsApp opt-out

If you want to stop receiving WhatsApp messages from SWEETFA without deleting your account, reply STOP in your WhatsApp chat with the SWEETFA business number. We will cease all WhatsApp communication immediately. Your account and records remain until you submit a deletion request.
